Privacy policy

ResidentAI organizes private, resident- and property-specific information for authorized residents, property teams, and invited collaborators. This policy explains the pilot product's intended data practices. Replace the contact and company details with final legal information before accepting paid production communities.
Information we collect
We may collect account details, contact information, unit and lease details, in-unit system and appliance records, maintenance requests, building service and vendor information, documents you upload, amenity bookings, package and event activity, move-in handoff activity, support messages, and limited technical logs required to operate and secure the service.
How information is used
We use information to provide the resident passport, authenticate users, organize records, triage and route maintenance requests, answer community- and unit-specific questions, coordinate move-in handoffs, support users, prevent abuse, and improve the service. We do not use private resident or property records to train public models.
AI processing
When the optional AI concierge is enabled, selected unit and community records relevant to a question or request may be sent to the configured AI provider to generate a grounded answer or triage suggestion. The service is designed to send only bounded resident and community context and to disable provider-side response storage where supported. Users should not rely on AI output as maintenance dispatch confirmation, emergency, legal, insurance, or licensed trade advice.
Sharing
We share information with service providers needed to host, authenticate, store, secure, and operate ResidentAI, and with the property team responsible for a resident's community. We may also disclose information when required by law or to protect users and the service. We do not sell personal information.
Access and handoff
Private resident records are limited to authorized members of a unit and the property team. During a move-in handoff, the prior resident's active access is revoked and the incoming resident is granted access. Property team members may retain access only as authorized by their role.
Retention and deletion
Records are retained while the resident passport is active or as needed for legitimate business, security, and legal purposes. Authorized users may request export or deletion. Some audit and handoff records may be retained when necessary to document security or access events.
Security
ResidentAI uses authentication, private storage, row-level access controls, expiring handoff tokens, and server-side secrets. No system can guarantee absolute security. Users should not upload door codes, alarm codes, Social Security numbers, loan documents, or unrelated highly sensitive information.
